Procedures for Hiring an Employee

 

For an existing position, the Supervisor/hiring manager obtains a resignation letter from the current employee and sends the letter to the Human Resources Department.  The Supervisor requests a current job description from the Human Resources Department, reviews, and edits it appropriately.

 

For a new position, the Supervisor/hiring manager develops a job description for the new position and submits the job description to the Human Resources Manager for review. (Form located on the Intranet in the forms section, or on the left sidebar of this page)

 

  • The Supervisor completes, prints and signs the Position Requisition form. (Located on the Intranet in the forms section, or on the left sidebar of this page) Once completed and has the signature/authorization to hire from his/her Vice President and forwards the form to the Human Resources Department. 

  •  

  • The Human Resources Department will obtain the signature of the Vice President for Finance and Administration.   Once the form has been signed off by the CFO and returned to Human resources they are able to begin the actual recruiting process. 

  •  

  • The Human Resources Department creates a posting and an advertisement for the position (if appropriate) and forwards this to the Supervisor for review and editing.  After the Supervisor approves the posting/ad, the Human Resources Department electronically posts the position on eRaven in the HR Franklin Pierce Job site for a minimum of three business days, as required. 

  •  

  • Unless directed otherwise, HR will submit a posting to the Webmaster for entry on the Internet site under Employment Opportunities.  Under the advisement of the Supervisor, Human Resources will work with various websites (including the FP website), journals, networks, and newspapers to advertise the position. 

  •  

  • As resumes arrive in the Human Resources Department automatically sends each applicant a post card indicating that their resume/application has been received, a HR representative will forward all resumes and applications directly to the Supervisor for review. After the resumes and applications have been reviewed, the candidates that are not being considered must be returned to the Human Resources Department.  

  •  

  • The Supervisor schedules telephone and/or on campus interviews. The Supervisor will inform the candidates of the hiring range and provide candidates with a copy of Franklin Pierce Benefits.  Should a candidate request travel reimbursement; the supervisor must contact Human Resources for approval prior to the interview. If the approval is given, then the Human Resources Department will make arrangements for the travel and/or accommodations

  •  

  • The Supervisor is responsible to check all the references for final candidates.

  •  

  • Once the selection is made, the supervisor will contact the Director of Human Resources to make a final offer by emailing the following information to: burkes@franklinpierce.edu 

  1. Name

  2. Title

  3. Start date

  4. Direct Supervisor

  5. Hourly rate or monthly rate

  6. Whether the position is full-time or part-time

  7. Whether the position is exempt or non-exempt

  8. Regular work schedule (days and hours worked)

  9. Location of job (if not Rindge campus)

  10. Any special information/condition of employment

 

  • The Supervisor will personally contact all Franklin Pierce candidates not selected and forward all remaining resumes and applications to the Human Resources Department. Any candidate not part of Franklin Pierce will receive a letter from the Human Resource Department stating that they were not chosen for the position. 

  •  

  • After the candidate has accepted the position and the Supervisor has been notified, the Human Resources Department creates and sends a formal offer letter to the candidate.  The offer letter contains the following information.

  1. Name

  2. Title

  3. Start date

  4. Supervisor

  5. Hourly rate or monthly rate

  6. Number of months per year

  7. Whether the position is full-time or part-time

  8. Whether the position is exempt or non-exempt

  9. Days and hours worked (if non-exempt)

  10. Location of job (if not Rindge campus)

  11. Date, time and location of first-day orientation (this typically takes 3 hours)

  12. Any special information
